What is a Joint Declaration?
A Joint Declaration is a combined application signed by both the employee and the employer. It is submitted to the Regional PF Commissioner to rectify major discrepancies in the employee's PF records. You need this form if your PF details do not match your Aadhaar details, which will prevent UAN linking, KYC approval, and ultimately, PF withdrawal.
What Corrections Require a Joint Declaration?
- Name mismatch (Major spelling changes or complete name changes).
- Father's Name/Husband's Name correction.
- PF Account Number / UAN discrepancy.
- Date of Birth (DOB) correction (especially if the difference is more than 3 years).
- Date of Joining (DOJ) or Date of Exit (DOE) modifications.
- Reason of Exit correction.
How to Submit Online (New Process)
EPFO has recently enabled the Joint Declaration workflow online for faster resolution:
- Login to the Member Unified Portal.
- Navigate to
Manage>Joint Declaration. - Select the relevant Member ID.
- Upload the required documentary proof as requested (e.g., Aadhaar, PAN, Passport, Birth Certificate).
- Submit the request. It will be forwarded to your Employer's digital dashboard.
- Once the Employer digitally signs and approves it, the request goes to the Regional PF Office for final updating.
How to Submit Offline
If the online method fails or your employer is closed/uncooperative:
- Download and print the standard Joint Declaration Form.
- Fill in the incorrect details as per EPFO records and the correct details as per your Aadhaar.
- Sign the form and get it signed/stamped by the authorized signatory of your company.
- Attach self-attested copies of proof (Aadhaar, PAN, Marksheet, etc.).
- Submit the physical packet to your designated Regional EPFO office.
â ī¸ Closed Establishments: If your company has permanently shut down and cannot sign the form, you can get the Joint Declaration attested by a Bank Manager (where you maintain a salary account), a Gazetted Officer, or a Magistrate, along with a letter explaining the company's closure.
